RATE OF PAY: 

Salary, Commensurate with experience and qualifications

 

Duties and Responsibilities include:

  • Create and maintain a filing system that supports efficient information management.
  • Generate requisitions; as required
  • Filing of Po’s and purchasing documents; as required
  • Follow up contact-Letters of Regret, etc.; as required
  • Receives all official contract documents (Dwgs, Specs, etc)
  • Distributes the documents to KLG Personnel, according to responsibilities
  • Files all information received
  • Creates Transmittals for the documents and sends them out
  • Maintains the Document Filing System
  • Maintains Project document KLG standards
  • Establishes Operations & Maintenance documentation (Sets up Library for handover)
  • Facilitates as-built Info from field crews to drafters for red-line preparation
  • Process submittals, RFIs, and other project documents; when required as typically Contract Administrator role.
  • Reproduce, distribute, store and retrieve necessary project documentation.
  • Process incoming and outgoing correspondence in a timely manner.
  • Prepare and edit paperwork for contract agreements; when required as typically a Contract Administrator role.
  • Ensure all records-management activities adhere to institutional policies and legal regulations.
  • Conduct regular review audits to ensure information on all records is accurate and up to date.

  • Filing & retrieval of all project records ensuring applicable data fields are accurately updated and maintained in Project Document Management System.
  • Supervise and train staff working in the document control department.
  • Provide back-up document control support to other staff as needed.
  • Other duties as directed from time to time

Qualifications

  • At least 5 years’ experience working in the construction (mining construction/capital development) industry.
  • Experience working with documents such as engineering drawings, inspection instructions, confidentiality agreements, and material specifications.
  • Excellent written and oral communications skills.
  • Desire to work within a collaborative environment.
  • A desire to achieve excellence and to grow within a dynamic organization.

Desirable Knowledge and Skills

  • Advanced Microsoft Suite skills
  • Archive software (Adobe Acrobat, DocuSign, etc)
  • Record Keeping and Archive Standards Knowledge and application
  • Construction Industry: 5 years (Required) or Construction/Mining 5+ years
  • Ability to work in a cooperative team environment, with significant client interface.

Physical Requirements

  • Lifting, up to 25 KG ground to waist hight
  • Carry equipment distances for measuring purposes
  • Occasional push and pull
  • Daily standing, walking over uneven ground
  • Daily inakward positions such as squatting, kneeling and bent over
  • Environment conditions can be hot cold humid wet and dusty
  • Lighting is restricted, may have excessive noise
  • Ground control conditions may be wet, muddy, slippery, sloped inclines, loose rocks and other obstacles on the ground
